Product import templates: standardising how your team works
When products are added by several people, each of them develops their own habits. One writes "Black", another "black", a third "BLK". One puts the brand in the title, another does not. Over time, the catalog becomes harder to filter, search and maintain. Import templates give everyone the same structure to work with.
What a template defines
- Required fields for every product: identifier, name, brand, category, price, quantity, at least one image.
- Category-specific fields: dimensions for furniture, size and material for clothing, power for appliances.
- Allowed values for fields used in filters, with exact spelling.
- Units and formats: centimetres, kilograms, decimal separator, date format.
- Title pattern, for example "Brand + Model + key characteristic".
Templates for products you create
For products your team adds manually, such as your own brand or items from small suppliers without price lists, a spreadsheet template with fixed columns and drop-down values is enough. It prevents most inconsistencies before they reach the store.
Templates for supplier data
Supplier files cannot follow your template, because each supplier has its own. Here the "template" is the mapping: a saved description of how each supplier's columns translate into your standard fields and values. Set it up once per supplier, and every new file is brought into your structure automatically.
Introduce templates without slowing the team
- Start with the fields that cause the most problems, usually brand, category and the main filter attributes.
- Document the standard on one page with examples.
- Clean up existing products category by category, not all at once.
- Review new products for the first few weeks and adjust the template where it was unclear.
Keep templates alive
A template written once and never updated is soon ignored. Assign an owner, review it when new categories or suppliers are added, and remove fields nobody uses.
