Wholesaler integration: a step-by-step setup

Integrating a wholesaler means that their products, prices and stock reach your store without anyone copying them by hand. Done well, adding a new wholesaler takes an afternoon and then runs on its own. Done poorly, it creates duplicates, wrong prices and a catalog that needs constant fixing. Here is a setup that works for any store platform.
1. Agree on the data with the wholesaler
- Which format they can provide: Excel, CSV, XML, YML, JSON or API.
- How you will receive it: a permanent link is best, e-mail or FTP also work.
- When they update it and how often.
- Which identifiers they use: their own codes, manufacturer part numbers, barcodes.
- Whether prices include VAT and in which currency they are.
2. Map the fields
Define where the name, identifier, purchase price, recommended retail price, quantity, brand, category, images and attributes are in their file. This is done once per wholesaler.
3. Map the categories
Assign each of the wholesaler's categories to a category in your store. Leave out the ones you do not want to sell.
4. Link products
Connect the wholesaler's products to your catalog by barcode or part number, so the same item from different sources becomes one product. Review the products that could not be matched automatically.
5. Set pricing
Define markups by category, brand and price range, the currency rate, and the wholesaler's priority relative to your other suppliers.
6. Test
Process the first file without publishing. Check the number of products, the largest price differences and a few random items by hand.
7. Publish and schedule
Export to your store or feed, then turn on the schedule so updates follow the wholesaler's own update times.
8. Monitor
For the first weeks, check each run. After that, look at the results regularly and talk to the wholesaler if their data quality changes.
