
Supplier integration ROI: how to calculate it
Automating supplier data costs money and setup time. The question is whether it pays off, and how quickly. The answer is usually clear once you count the costs of the manual process, which tend to be larger and more spread out than they look.
The cost of the manual process
Working time
Count the hours spent each week on downloading price lists, converting them, recalculating prices and uploading results. Multiply by the hourly cost of the people doing it. For several suppliers, this is often a significant part of one employee's week.
Lost margin
When prices are updated weekly instead of daily, supplier price increases go unnoticed for days. Estimate the margin lost on the products sold during that delay.
Cancelled orders
Orders for items that were out of stock at the supplier: the processing time, refunds, marketplace penalties and customers who do not return.
Errors
Wrong prices from a shifted column or a mistyped formula. Even one incident a year can cost more than an automation tool.
Missed growth
Suppliers and channels you did not add because there was no capacity to handle more data.

- A small amount of regular monitoring.
A simple calculation
Monthly benefit = saved hours × hourly cost + margin recovered + cost of avoided cancellations and errors.
Monthly cost = subscription + (setup time ÷ 12, spread over the first year) + monitoring time.
If the benefit is higher, the integration pays for itself. For stores with several suppliers, the time savings alone often cover the cost.

- Add the suppliers you postponed because of manual work.
- Add sales channels that use the same catalog.
- Use the time saved for work that grows sales, such as content and marketing.
